Team and permissions

Everybody who works in your account should have their own login. Shared logins make it impossible to tell who did what, and impossible to remove one person’s access.

Adding somebody

  1. Go to Team and invite them by email address.
  2. Choose the role that matches what they do.
  3. They receive an invitation, set their own password, and confirm their email address.

Each person after the first is a paid seat: $7.99 a month on Basic, $14.99 on Pro. Your subscription includes one. Seats can be added and removed as people join and leave, and are billed for what you actually have.

Roles

A role is a bundle of permissions. Permissions control both what somebody can see and what they can change — sections a person has no permission for are hidden rather than shown and refused.

Permissions are grouped by what they act on: contacts, companies, leads, mail, tickets, invoices, branding, team and settings. Most have separate view and manage levels, so somebody can be given the ability to read something without the ability to change it.

View and manage are different

Support tickets are the clearest example. Someone can be allowed to read every ticket without being able to reply to any of them — the right level for a manager who needs visibility but is not the person answering.

When somebody leaves

Remove their membership from Team. Their access ends immediately, the seat stops being billed, and the work they did stays attributed to them. Do not reuse their login for their replacement.

Signing in

Signing in from a browser we do not recognise sends a six-digit code to your email address. You can mark a device as trusted for 30 days, after which it asks again. Confirming your email address at signup counts as verification, so you are not asked twice on the same day you joined.

More than one account

If you belong to more than one Virtisphere account you can switch between them from the account switcher, without signing out and back in.
